Email filtering helps you get on top of mail

Modern email clients (Outlook, Eudora etc) have a handy feature called filtering or rules. These allow you to set up your system so that when emails arrive with a certain subject line or from a particular company the email is automatically moved into one of your folders.

Here's how I use rules

  1. Many of our accounts payable invoices are sent to me as the business owner. I have a rule which forwards a copy to our accounts staff and files the email in my accounts payable folder. I can read them later if I want.
  2. Keeping up with Internet trends means I receive many newsletters each week. Using a rule to move them all into my "Reading" folder means they don't interfere with my daily tasks and I have a nice collection of newsletters to read at the end of the day when I want to relax.
  3. Any incoming mail marked as SPAM is moved to my spam folder without me even seeing the mail - later I go and empty my spam folder.

Spend 15 minutes learning how to use rules and filters now - free up hours of time each week to use somewhere else - the beach maybe?!!
